Donor Privacy Policy

This document sets forth the policy that Assistance League of Bellingham, hereinafter to be known as Assistance League of Bellingham, a chapter of National Assistance League, shall follow with respect to the contributions and privacy rights of donors.


•     Unless otherwise provided below, this Donor Privacy Policy shall be provided to any donor upon request, or immediately upon receipt of a donation to the chapter.

•     The chapter shall not copy, reproduce, publish, post, distribute or sell the name, personal contact information or amount of donation or donor to any individual or business without the written consent of the donor.  Exceptions shall be those as required by law and may be made without prior knowledge or consent of the donor.

•     Publications and publicity of the chapter, referred to in this document, shall include but not be limited to the following:  annual report, local newspapers, website, newsletters, brochures and fact sheet.

•     Donors have the following rights:

To be informed of Assistance League of Bellingham’s mission, the intended use of donated resources and of its capacity to use donations effectively for their intended purposes.

To be informed of the identity of the organization’s governing board and to expect the board to exercise prudent judgment in its responsibilities.

To have access to Assistance League of Bellingham most recent financial statements.

To be assured the gift will be used for the purpose for which it was given.

To receive appropriate acknowledgement and recognition, provided consent has been given to do so.

To be assured that information about the donation is handled with respect and with confidentiality to the extent provided by law.

To be informed whether those seeking donations are volunteers, employees of the organization or hired solicitors.

To feel free to ask questions when making a donation and to receive prompt, truthful and forthright answers.

To be asked for consent before photographs are used.


  •    When a chapter pays per capita dues, chapter members’ information is added to the membership database of National Assistance League (national organization) which is located on the national organization’s website.  Each chapter’s database is viewable by password access by designated chapter members and by designated members of the national organization who shall include:  President, Treasurer, Vice President Marketing, Executive Director, Website Coordinator and members of the national office staff as well as employees of any firm engaged by the national organization to host the website.  Each chapter’s database is not viewable by any other individuals or by members of any other chapter.
  •   The national organization may provide, without prior approval, the name and address of each chapter member to the businesses that publish and mail the eNewsLink and any other official publications of the national organization.  Removal of a chapter member’s name from this mailing list shall be done, in writing, by contacting the Vice President Marketing Communications.  This request to remove from the mailing list shall be permanent, as to all publications, of the national organization as listed in the National Assistance League Donor Privacy Policy until such time as the chapter member permits the mailing of publications to the address listed in the database.
  •    Satisfaction of the requirement to provide a copy of Donor Privacy Policy of National Assistance League to chapter members shall be met by providing a copy of the policy to the President of each chapter.  This may be satisfied by annually providing one copy in the national Assistance League Manual for Chapter Management, or immediately upon any changes to the policy.  A chapter member may request a copy from the chapter President.
  • The personal information of a chapter member will not be shared without the written consent of the individual. Exceptions shall be those set forth in the National Assistance League Donor Privacy Policy, a copy of which is on file with the chapter. Donations received by a chapter member will be afforded the same considerations as stated in this policy. A chapter member will receive a copy of this policy annually.


Chapter Donations

1.     Any individual, corporation or business may make a donation.

2.     A letter to the donor shall be sent from the chapter acknowledging the contribution and amount of the donation.

3.      The name and amount of donation may be listed in documents viewed by members and nonmembers in such publications as are listed under the General Statements section above.  Assistance League of Bellingham will obtain the written consent of the donor for the purposes for which the personal information of the donor will be collected, used or disclosed and will state the purposes in a form that can reasonably be expected to understand in all cases except those documents that are required by law.  The following statement shall be included on all documents requesting donations:

Assistance League of Bellingham may publish the names and/or amounts of a donation.  If the donor does not wish to have the name and/or amount published, please check the corresponding box (provided on document).  These publications may be viewed prior to completing this portion by contacting the chapter.

4.   There shall be a place for the donor’s signature and date of signing on donation forms.

5.    When a donation is sent without a consent document or form or the consent to release/refuse information has not been completed, the chapter shall send the donor a document requesting permission to release/refuse the release of the donor’s name and/or donation amount.  The donor shall sign and date the document, indicate wishes with respect to the donation and return the form to the chapter.

6.     All donations shall be treated individually so that multiple donations from a single donor shall receive the same consideration as if each were the first donation received.

7.    Donations may be restricted or unrestricted.  Any restrictions shall be in writing.  All restricted donations shall be used solely for the intended purpose and no other.

8.    A donor’s photograph will not be used at any time or in any publications without the donor’s consent.  However, agreeing to appear in a photograph shall imply consent.  This implied consent shall apply to the name and likeness of the donor being published in the documents described in the General Statements section above as well as a description of the amount or type of contribution given to the chapter. Prior to release of the photograph and other identifying information, a copy of this Donor Privacy Policy shall be sent to a donor who has not given or implied consent.  The donor shall have ten (10) days from the date of the mailing of the policy to write to the chapter and ask that the photograph and the accompanying information not be released.

It is not necessary to obtain written or oral consent from other individuals photographed in large crowds and/or group if the photograph is taken at any event sponsored by the chapter.  Therefore, it is not necessary to provide a copy of this Donor Privacy Policy to those so appearing.

At  all times a chapter member in attendance at any event sponsored by the chapter or national organization, such as Leadership Conference, National Conference, chapter networking, committee meetings, chapter visits or any fundraising event or activity agrees that the member’s name, chapter name and likeness may appear in the publications listed above in the General Statements section and in the publications of the national organization.


All financial records are maintained by the chapter.

The president, members involved in the transaction of the donation and financial officers of the chapter may view information concerning donations.  These individuals shall not disseminate this information for any reason without the prior written consent of the donor.  Access by other individuals is set forth in this policy.

The chapter shall keep all donor information in a secure location.
